Fair questions
Is this only an AI receptionist?
No. Voice is usually where we start, because a missed call is the most visible loss. The same system also covers missed-call recovery, open-estimate follow-up, reminders, review requests, call summaries and the reporting your office reads in the morning. What gets built depends on what the audit finds.
Can it work with our existing phone number?
Usually. Most business lines can forward to a dedicated number, either on a schedule for after hours or on a busy or no-answer condition for overflow. We confirm what your carrier and phone system actually support during the audit rather than assuming it.
Can it work with our current field-service software?
That is one of the first things the audit checks. Some platforms expose scheduling and job data to outside systems, some only partly, and some not at all. Where a direct connection is not available, the system still captures everything and hands your office a structured summary. You find out which of those you are looking at before you commit to anything.
What happens during an emergency call?
Emergencies follow your rules, not the system's judgement. You define what counts as urgent, and what happens when the system hears one: transfer to your on-call number, escalate, or both. The system does not attempt to assess danger on its own.
Can our dispatchers take over?
Yes. A live handoff to a person is a designed path, not a failure state. You choose when it happens: on the caller's request, on a trigger you define, or when the system is not confident it understood the caller.
Does the AI provide HVAC diagnosis or pricing?
No. It does not diagnose equipment and it does not quote work. It can state fixed information you have approved, a diagnostic fee or service-call charge for example, and everything else routes to a person.
Can we begin with after-hours calls only?
Yes, and that is usually the sensible start. After hours has clear boundaries and the thing it replaces is voicemail. Once you have heard how it handles real calls, you decide whether to extend it to overflow and follow-up.
How quickly can a pilot launch?
It depends on scope and on what your phone system and software allow, so you get a date after the audit rather than a number from a website. A narrow after-hours pilot is the fastest thing we can put live.
How is performance measured?
We agree the measure before launch, in your terms: calls answered outside office hours, service requests captured, appointments booked, estimates followed up. You then read it against real interactions, with the summaries and transcripts available.
